How to submit a tender or PQ documentation for a call for tenders
CONTEXT #
This guide describes the process of uploading a tender or PQ documentation (prequalification) for a call for tenders via a web-based tender platform. It covers selecting the contract, filling in the tender details and uploading the documentation.
RELEVANCE #
This guide is relevant when, as a registered tenderer, you want to submit your tender or your PQ documentation for a call for tenders. It guides you through the entire upload process, from selecting the contract to final submission.
PREREQUISITES AND REQUIREMENTS #
- You have been created as a user on the tender platform and are logged in
- You are registered for the relevant call for tenders
- You have been invited to participate in at least one contract in the call for tenders
- You have your tender documentation ready for upload (one combined file)
- You know your total price both incl. and excl. VAT
GUIDE #
Step 1 – Open the Tender/PQ tab Click the “Tender/PQ” button in the menu bar on the tender page. The tab shows an overview of the contracts you have been invited to participate in.
Note: The project may contain more contracts than the ones visible to you. You can only see the contracts you have been invited to participate in.
Step 2 – Select contract Click the contract in the list that you want to submit a tender for. The selected contract is highlighted, and you can now see the upload options on the right.
Step 3 – Click “Upload Tender/PQ” Click the “Upload Tender/PQ” button to open the upload dialog. A new dialog opens with fields for disclaimer, total price and documentation.
Step 4 – Fill in disclaimer If you have any reservations regarding the project, enter them in the “Disclaimer” field. If you have no reservations, you can leave the field empty.
Step 5 – Enter total price Enter your total price in the “Total price” field. By default, prices are excl. VAT and in the currency specified in the tender material.
Important: Check whether the tender material requires the price to be stated incl. or excl. VAT, and adjust your price accordingly.
Step 6 – Upload tender documentation Click the “Click here to upload tender/PQ file” button and select the file you want to upload.
Note: Only one file can be uploaded in this step. Additional files can be uploaded afterwards, once the tender has been submitted.
Step 7 – Submit the tender Click the “Upload Tender/PQ” button to send your tender. The tender has now been submitted, and you will see a confirmation.
Tip: You can delete or change your tender and your documentation right up until the tender deadline. I.e. once the call for tenders has closed, it is no longer possible to change the uploaded tender.
NEXT STEPS #
- Upload additional files – After submission you can add further documentation to your tender
- Submit questions – If you have questions about the call for tenders, you can submit them directly via the platform under the “Questions” tab
- Follow up on your tender – Keep an eye on the tender deadline and any updates from the person responsible for the tender
