CONTEXT #
This guide describes the three search functions in AjourBox (web): Global search, Search in folder and All files. The functions are used to find files, but each has a different search scope – from searching across all projects to searching within a single folder.
RELEVANCE #
You need this guide when you want to find a specific file in AjourBox but are unsure which search function fits your situation. If the file could be anywhere in the system, Global search gives the broadest result. If you know the folder but not the file’s location within it, Search in folder is the fastest. If you need an overview of all files in a project across folders, All files is the right function.
PREREQUISITES AND REQUIREMENTS #
- You must have access to AjourBox
- Search results always reflect your permissions – you only see files in folders you have access to
- For Search in folder, you must have access to the specific folder you are searching in
- For All files, you must have opened the relevant project
GUIDE (step by step) #
Global search – search across projects
Global search lets you search for files across all projects you are linked to, including the shared Global folder, which is visible across projects.
Step 1: Click AjourBox in the top navigation menu
Step 2: Click the Global search field in the top right of the screen
Step 3: Enter your search term, for example a file name or description
Step 4: View the results, which are shown across all projects you have access to
Search in folder – search within the selected folder
“Search in folder” limits the search to exactly the folder you are currently in. The search covers only the direct contents of the selected folder and does not automatically search subfolders.
Step 1: Navigate to the desired folder in the folder tree on the left
Step 2: Click the Search in folder field, which is located to the right in the file window, under Global search
Step 3: Enter your search term
Step 4: View the results, which only show files in the selected folder
All files – search across the project’s folders
“All files” is a view and search function that gathers all files across a single project’s folders in one list. The view shows, among other things, name, file path, description, revision, version, size and update date, which gives a complete overview of the project’s file content.
Step 1: Open the desired project in AjourBox
Step 2: Click All files in the folder tree on the left. The list now shows the total number of files you have access to see
Step 3: If needed, use the Search in folder field on the right to filter within the All files view
Step 4: Use the columns, for example name, file path, revision and date, to sort and find the files you want
NEXT STEPS #
- Assign or adjust folder permissions if a search does not give the expected results
- Use filtering in the All files view to follow updates across a project’s files on an ongoing basis
- Check whether the file you want is in a subfolder if “Search in folder” does not find it
