Filtering, sorting and grouping registrations in AjourInspect & QA
Context #
This guide is based on the list view of registrations in AjourInspect & QA — a web-based platform for managing supervision, defects, preregistrations and QA tasks on construction projects.
The guide shows a table view with registrations organized in columns such as number, creation date, labels, drawing/GPS, deadline, category/list, subject, receiver and responsible. At the top are tabs for switching between registration types (Supervisory, Project, Defect, Preregistration, QA), and below them a statistics box shows the percentage distribution of the registrations’ status.
The filter panel is an expandable row of search and filter fields displayed directly above the table, which lets you narrow down the list.
Relevance #
You need this guide when you want to:
- Find specific registrations in a long list
- Focus on registrations within a specific category, drawing, date or label
- Group registrations by folder for a better overview
- Filter by the status of the registrations (Created, Done, Rejected, Not approved, Completed)
- Limit the view to a specific project folder or a specific folder level
- Filter registrations with comments or latest activity within a specific period
- Reset filtering and return to the full list view
Prerequisites and requirements #
Before you follow the guide, make sure that:
- You are logged in to AjourInspect & QA with an account that has access to the relevant project
- You have navigated to the desired tab (for example Defect, Supervisory or QA)
- The correct project is selected in the project list at the top left
- There are registrations in the system that can be filtered
Guide (step by step) #
Part A – Open the filter panel #
Step 1. Navigate to the tab you want to filter, for example Defect at the top of the navigation bar.
The tab is activated and the table updates with the relevant registrations. The number of registrations is shown on the tab.
Step 2. Click the filter icon (funnel symbol) at the far right above the column headings.
The filter panel expands as a dark row above the table and shows search fields for all available filter parameters.
Part B – Filter by registration status #
Step 3. In the “Status on registrations” box at the top of the page, an overview is shown of the number of registrations distributed across the status categories: All, Created, Done, Rejected, Not approved and Completed.
Click one of the status categories to filter the list to show only registrations with that status.
The table updates immediately and shows only registrations with the selected status. The statistics box highlights the active category.
Tip: Use status filtering as a quick overview — for example, click “Not approved” to immediately see all registrations awaiting approval, without opening the filter panel.
Note: Status filtering is combined with any other active filters. If you have already selected a category group or a tab, only the registrations that match both criteria are shown.
Part C – Filter across columns #
Step 4. Search in the free-text fields directly in the column headings:
- Type a keyword in the “Search #” field to find a specific registration number.
- Type in “Search drawingname” to filter by drawing or GPS reference. Suggestions based on saved drawing names are shown automatically — select the one you want from the list.
- Type in “Search subject” to filter by subject description.
The table filters continuously as you type.
Step 5. Filter by Category/List by clicking the drop-down field under the column heading and selecting the desired category.
You can select subcategories by choosing them one at a time from the list. The system shows only registrations that match your selection.
Step 6. Filter by labels by checking the check boxes under the “Labels” column (for example Green, Red).
Only registrations with the selected labels are shown in the list.
Step 7. Specify a date interval for the Receiver or Responsible fields by filling in the “Date from” and “To” fields in the relevant column.
Click the date field to open a calendar and select the desired date.
Important: Make sure that the “To” date is not earlier than the “From” date, otherwise the result will be empty.
Step 8. Filter by comments by using the “Filter by comments” drop-down field or by filling in the date interval under “Latest comment”.
Useful for finding registrations that have had activity within a specific period.
Step 9. Filter by with or without photos by using the “Photos” drop-down field, then select “With photos” or “Without photos”
Useful for finding registrations that do not contain photos, so you can make sure that, for example, the QA material is complete.
Part D – Filter by receiver and responsible #
Step 10. Click the “Select company” drop-down field under the Receiver column and select the desired company from the list.
The list automatically filters to show registrations assigned to the selected company.
Step 11. Repeat the same for the Responsible column if you want to narrow the list further by the responsible party.
Part E – Grouping and showing subfolders #
Step 12. In the top line of the filter panel you will find three options:
| Option | Description |
| Include registrations from underlying folders | Show registrations from all subfolders within the selected level |
| Group by folders | Gathers registrations in groups based on their folder structure |
| Show only hidden | Shows only registrations that are marked as hidden |
Check the desired option by clicking the check box.
Tip: Use “Group by folders” to get a structured overview when you work across building sections or floors.
Part F – Sorting in columns #
Step 13. Click a column heading (for example “Created”, “#” or “Deadline”) to sort the list by that column.
The first click sorts ascending (A–Z or oldest first), the next click sorts descending. A small arrow shows the active sorting direction.
Tip: Sorting is combined with active filters — you do not need to reset filters to change the sorting.
Part G – Change registration type with tabs and group buttons #
Step 14. Click one of the tabs at the top (Supervisory, Project, Defect, Preregistration, QA) to switch to another type of registration.
The statistics box and the list update to show only the selected registration type.
Step 15. Click one of the group buttons under the tabs (for example “All groups”, or specific category groups) to narrow the list further to a specific group.
The buttons show the number of registrations in parentheses. The active button is highlighted.
Part H – Filter by project folder #
Step 16. On the left side of the screen, under the project selector, the project’s folder structure is shown as a series of folder icons with associated drop-down fields — typically up to three levels (for example building, floor and room/zone).
Click the drop-down field at the top folder icon to select the first folder level you want to filter by.
The list updates immediately and shows only registrations that belong to the selected folder.
Step 17. Click the drop-down field at the next folder icon to narrow the filtering further to a lower level.
The choices available in the next level depend on what you selected in the level above. Only relevant subfolders are shown.
Step 18. Repeat for the third folder level if you want to filter all the way down to a specific area.
Tip: You do not need to fill in all folder levels. If you select only the first level, all registrations under that parent folder are shown — including subfolders, unless you have cleared “Include registrations from underlying folders” (see Part E).
Note: Folder filtering is combined with any other active filters and status filtering. Use it as a starting point for limiting the work area before you add further filters.
Part I – Reset filtering #
Step 19. Click the red reset icon (X symbol) at the far right next to the filter icon to remove all active filters.
The list returns to showing all registrations under the selected tab and group.
Note: Reset removes all filters at once — including the ones you set manually. Make sure you are ready to clear all filters before you click.
Next steps #
When you have found the registrations you want by using filtering and sorting, you can:
- Print or export the list — click the “Print” button at the top right to generate a print-friendly view of the filtered list.
- Use the deep-link function. Copy the URL and send it to relevant people, who can open the link and see the same filtering.
- Create a new registration — click “Create registration” to add a new item directly within the active filter and group.
