Context #

This guide shows the main interface of AjourBox – a digital file management system for construction projects. The view includes a navigation menu, a file area with a folder structure and a panel for file revisions and versions.

Relevance #

This guide is relevant when you need to navigate AjourBox for the first time, or when you need an overview of how the system is structured. It helps you understand how to find files, switch project, manage folder structures and access earlier revisions of files.

Prerequisites and requirements #

Before you follow this guide, make sure that:

  • You have access to AjourBox and are logged in
  • You have the necessary permissions for the project you want to work with
  • You are aware that certain areas (e.g. the global folder area) are only visible to users with the Administrator role
  • The tender module is activated in your system, if you need to work with tender folders
Guide (step by step) #
Menu and project selector #

Step 1: Click the Menu button at the top left to access system settings.

From here you can import templates, create folders, download files and perform other setup tasks.

Step 2: Click the project button (next to the Menu button) to switch to another project.

A dropdown shows the projects you have access to. Select the desired project — the file area is updated automatically.

File area #

Step 3: Navigate to the global folder at the top of the folder structure.

This folder is visible across all projects and is used for company-wide files such as templates. You can drag and drop files and folders from here to project folders or drafts.

Important: The global folder area is by default only visible to users with the Administrator role.

Step 4: Navigate to Tenders on project in the folder structure, if the tender module is activated.

The tender folder is marked with a black icon and contains tender material linked to the current construction project.

Tip: The tender folder is only shown if the tender module has been added to your system.

Step 5: Navigate to Folders on project – the top folder with the project’s name – to access the project’s files.

All project files, documents and drawings are stored here. Right-click the folder to import a general template via Import template.

Step 6: Navigate to Registration drawings on project under the project structure to manage registration drawings and project folders.

You can drag and drop drawings from project folders to registration sheet folders. Note that all sheets moved this way are created as new, independent copies.

Step 7: Read the numbers next to each folder to see how many files are stored in it.

A number next to a folder indicates the number of files in that folder. Folders without a number or with 0 are empty.

Tip: Use the file count to quickly get an overview of where your files are located in the structure.

Revisions and versions #

Step 8: Upload a file with the same file name as an existing file to create a new revision.

The system automatically recognises the file name and assigns the file a new revision letter and a date. You do not need to specify the revision manually.

Step 9: Click a file, select Menu and then Revisions / Versions to access earlier editions of the file.

A list of all earlier revisions and versions is shown. From here you can open or download an earlier edition.

Remark: Revisions (indicated by letters) are visible to all users. Versions (indicated by numbers) are not visible to users with the Contractor role.

Next steps #

Once you are familiar with the general structure of AjourBox, you can:

  • Create and organise folders — Use Menu to import templates and establish a project structure
  • Upload and manage files — Learn how to upload files and work with revisions in your project
  • Manage user permissions — Review which roles give access to global folders, versions and other modules respectively
