Context #
This guide shows a web-based platform for the AjourInspect & QA module, accessed via a web browser. The guide shows an overview of registrations, from which you can open a “Comments” window for a selected registration. The window contains a text field for writing a comment, an option to attach files, and the buttons “Save” and “Close”. Once a comment has been saved, it is shown in an overview in the same window together with the time, sender and any attached files.
Relevance #
You need this guide when you have to document a remark, a status or an elaboration in connection with a specific registration, e.g. when rejecting, following up or passing it on to another party. The comment function makes it possible to gather communication and documentation in one place, so that everyone involved can follow the progress of the registration.
Prerequisites and requirements #
- You must have access to the registration overview in the system via a web browser.
- You must have permissions to view and edit the registration.
- You must know the registration you want to add a comment to.
- Any files you want to attach must be available either locally on your computer or in the linked file-sharing module.
Guide (step by step) #
1. Click the speech bubble icon in the relevant registration’s row in the subject/comments column. A window titled “Comments” opens.
2. Enter your comment in the text field “Write your comment”.
Note: There is a maximum limit of 4000 characters per comment.
3. Attach any files by dragging them from your computer and dropping them in the “Attach files” field.
Tips: The maximum file size is 128 MB per file.
Note: The Ajour system does not support the file format .HEIC / .HEIF.
4. Click the “Save” button to save the comment and any attached files.
Important: If the text field is empty, an error message is shown stating that a comment must be written before it can be saved.
Warning: Once a comment has been saved, it cannot be deleted or hidden again. Check the content before you click “Save”.
5. View the saved comment in the list below the text field. It shows the time of creation, the sender and any attached files, which can be downloaded or opened via a file viewer.
6. Click the “Close” button to close the window when you are done. The number of comments on the registration is updated and shown as a number next to the speech bubble icon in the overview.
Next steps #
- Review the status of the registration in question to see whether the comment has led to changes in, for example, the receiver or the responsible.
- Add further comments if a need for follow-up arises later in the process.
- Use the filters in the registration overview to find other registrations that may also require a comment.
