CONTEXT #
This guide describes how to find and open the log function for a tender in AjourTender (web version). The log shows a chronological overview of all changes made to a tender, regardless of which tab you are on in the tender.
RELEVANCE #
You need this guide when you want an overview of what has happened to a tender – for example when it was created, activated, closed or extended, who has invited or replaced participants, and when material has been sent or downloaded. The log gives you a transparent audit trail, which is useful for follow-up, questions or documentation of the process.
PREREQUISITES AND REQUIREMENTS #
- You must have the project permission “AjourTender – Tender administrator” on the project in question
- The tender must already be created in the system
GUIDE (step by step) #
Step 1: Go to the AjourTender tab in the top menu to open the tender overview.
Step 2: Find the tender you want to see the log for, and click SHOW on the right side of the tender card.
Note: You can use filters and the search field at the top of the overview if you have many tenders and find it hard to locate the right one.
Important: Only users with the permission “AjourTender – Tender administrator” can access the log function. Bidders and invited users do not have access to the tender log.
Step 3: On the tender’s detail page, click the Menu button in the top left corner.
Step 4: Select Log in the dropdown menu that opens.
Step 5: A window titled Log opens. Here you see a table with the columns #, Date, Change and Changed by, showing each event in chronological order (newest at the top).
Tip: You can scroll down in the window to see older events in the log.
Step 6: Click Close when you are done, to close the log window and return to the tender.
Note: The Menu button, and thus access to Log, is available regardless of which tab you are on in the tender (e.g. Tender/PQ, Tender materials or Questions).
NEXT STEPS #
- See the other options under Menu, such as ESPD, Edit or Cancel tender
- Review the tender material under the tab Tender materials
- Follow up on received bids or questions/answers for the tender
