Context #
Synchronization is the function that ensures that your data on the device always matches the data on the Ajour server. You can synchronize from both modules, Inspect & QA and AjourBox, and the procedure is the same regardless of which module you are working in.
When you work offline, your registrations, comments and other changes are automatically saved locally on the device. However, they only become available to other users and are saved permanently on the Ajour server when you synchronize. Conversely, synchronization also downloads the latest data from the server to your device – e.g. if a colleague has made changes that you do not yet have on your device.
When you start a synchronization, you can choose between three options:
- Sync projects with unsynchronized data – synchronizes only the project or projects where you have unsynchronized data.
- Synchronize only [project name] – synchronizes only the project you have selected beforehand.
- Synchronize all projects – synchronizes all active projects you have permissions for. Note that this is not necessarily all projects in the entire system, but only those you have access to yourself. Note: Inactive projects will not be synchronized.
We generally recommend that you avoid synchronizing “All projects” unless it is strictly necessary. Large amounts of data can affect the app’s performance and take up a lot of space on the device. Therefore, preferably synchronize the project or projects you are currently working on.
During synchronization, a status bar with a percentage is displayed, together with messages such as “Fetching properties” or “Inserting categories”. If the percentage stops or stands still along the way, it does not necessarily mean that an error has occurred – the app is often still working in the background. Therefore be patient, and avoid interrupting the synchronization. If a real error occurs, the app will clearly notify you with a red bar and an error message, e.g. “Synchronization error”.
Because unsynchronized data can be lost, it is important never to uninstall the app or reset the device while there is still unsynchronized data. If a synchronization fails repeatedly, or fails completely without an error message, you should contact support, rather than trying to solve it yourself by deleting or reinstalling.
Prerequisites and requirements #
- You must be logged in to the EG Ajour app.
- You must have access to at least one project.
- Your device must have an active internet connection (Wi-Fi or mobile data).
- You must have the necessary permissions for the project(s) you want to synchronize.
Guide (step by step) #
| Step | Action | What happens |
| 1 | Open the desired project in either Inspect & QA or AjourBox | The project overview is displayed with the available folders and registrations |
| 2 | Tap the synchronization icon (the two curved arrows) at the top right of the screen | The Synchronize screen opens |
| 3 | Select one of the three options: “Sync projects with unsynchronized data”, “Synchronize only [project name]” or “Synchronize all projects” | The selected option is marked with a filled circle |
| 4 | Tap the “Synchronize” button at the bottom of the screen | The synchronization starts, and a status bar with a percentage is displayed |
| 5 | Wait while the app shows the status, e.g. “Fetching properties”, “Fetching comments” or “Inserting categories” | Status and percentage are updated continuously until the current project reaches 100% |
| 6 | When the synchronization is complete, you automatically return to the project overview | The updated data, including registrations and registration drawings, is now available |
Note: You only synchronize data from the module you have selected before the synchronization starts (Inspect & QA or AjourBox).
Explanation of the three options in step 3:
| Option | Meaning |
| “Sync projects with unsynchronized data” | Synchronizes the project or projects where you have unsynchronized data |
| “Synchronize only [project name]” | Synchronizes only the project you have selected beforehand |
| “Synchronize all projects” | Synchronizes all projects you have permissions for |
Note: “Synchronize all projects” only includes the projects you have permissions for in the system. It is therefore not necessarily all projects that exist in the system.
Warning: Do not synchronize “All projects” unless it is absolutely necessary. Large amounts of data can affect the app’s performance and take up a lot of space on the device. We therefore encourage you to synchronize only the project or projects you are currently working on.
Note: If you select “Synchronize all projects”, each project is processed individually, and the progress is shown e.g. as “(2/9)” to indicate how far the app has come in the series of projects.
Note: If the percentage stops or stands still during the synchronization, it does not necessarily indicate an error. It just means that the app is still working in the background. Therefore be patient and avoid interrupting the synchronization. If a real synchronization error occurs, the app will notify you with a red bar and an associated error message, e.g. “Synchronization error”.
Tip: You can switch to a different project than the one you are working on, via the menu (the ☰ icon) at the top left, before you start the synchronization.
Next steps #
- Review the synchronized registrations and registration drawings in the project.
- Check the status of your notes in the Inspect & QA module after the synchronization.
- Repeat the synchronization as needed, e.g. after you have registered new data offline.
