Types of registrations – concept clarification #
CONTEXT #
This concept clarification describes a tab bar in the EG Ajour system, in the AjourInspect & QA module, with five note types: Supervisory, Project, Defect, Preregistration and QA (KS). Each note type has an icon and a number showing the number of registrations of that type.
RELEVANCE #
This concept clarification is relevant when you need to understand the difference between the five note types, so you can choose the right type for the specific task – whether it concerns inspection, correspondence, defects, preliminary investigations or quality assurance.
PREREQUISITES AND REQUIREMENTS #
- You must have access to the system
- The system must subscribe to the modules AjourInspect and/or AjourQA
- A project must be selected before the note types become available
CONCEPT CLARIFICATION #
Supervisory The note type Supervisory can be used for ongoing monitoring that the construction work is carried out correctly in accordance with drawings, specifications and applicable regulations. It is typically carried out by the technical supervisor, the client’s advisor, the architect or the site supervisor, but also by the contractor’s own staff. Supervision can be planned visits or spot checks, and the purpose is to catch errors before they become expensive to fix. A recipient who must respond to the registration can be assigned.
The note type can also be used for safety inspections – a physical walkthrough of the construction site where the working environment and safety conditions are checked systematically. This includes, among other things, the use of protective equipment, site layout, access and transport routes, barriers, and scaffolding and machinery. Deviations that are found can be assigned to the responsible contractor for correction.
Project The note type Project can be used for correspondence between construction management and the advisor about project questions that require action. A recipient who must respond to the registration can be assigned.
The note type can also be used for technical queries (TF) – a formal channel where a contractor or subcontractor asks clarifying questions to the advisor, architect or client about ambiguities in tender material, drawings or specifications. Questions and answers can be documented in the registration’s comment thread, which can be useful if a dispute about responsibility arises later.
Defect The note type Defect can be used at handover, 1st and 5th year inspections, master walkthroughs, internal/external final inspections and/or defect registration. It can be used to systematically identify and document errors and defects – so the responsible parties can correct them. This note type is closely linked to the handover inspection and regulated in AB18/ABT18.
Preregistration The note type Preregistration can be used to register existing problems or conditions that require action or documentation before a project phase is started. This can include, for example, statutory preliminary investigations (such as building permit, environmental screening and updating of the BBR) or documentation of concealed work – for example reinforcement before casting, vapour barrier before cladding or membrane before tiling. It can provide evidence for work that can no longer be checked once it is covered. A recipient who must respond to the note can be assigned.
QA (KS) The note type QA (KS) can be used to document that the work has been carried out correctly, including when receiving work carried out by another contractor. It can be used for the three central types of control within quality assurance (KS), which is anchored in the Building Regulations (BR18):
- Receiving inspection – can be used to check materials and building products on delivery, before they are put to use, e.g. correct product, certificates and transport damage.
- Process control – can be used for ongoing control during the actual execution, while errors can still be corrected, e.g. moisture measurement before floor laying.
- Final inspection – can be used to document that completed work meets the requirements, typically before it is covered or handed over, e.g. pressure testing of a plumbing system.
There are trade-specific inspection templates that can be used for, among others, plumbing, electrical installation, carpentry, masonry and painting, and which follow standards from organisations such as TEKNIQ Arbejdsgiverne and DI Byggeri.
