CONTEXT #
This guide describes how to cancel a tender in AjourTender (web version). When a tender is cancelled, you must provide a reason, and all involved parties automatically receive a notification by e-mail.
RELEVANCE #
You need this guide when a tender is no longer to be carried out – for example if the project has changed or been cancelled, or the tender was created by mistake. Cancelling ensures that the participants are informed correctly and that the action is documented in the tender’s log.
PREREQUISITES AND REQUIREMENTS #
- You must have the permission “AjourTender – Tender administrator”
- The tender must already be created, and you must have a reason for the cancellation ready
Important: A cancellation cannot be undone. Therefore consider carefully before you carry out the action.
Note: It is not possible to delete a tender. However, this can be done by contacting support in writing.
GUIDE (step by step) #
Step 1: Go to the AjourTender tab in the top menu and open the tender you want to cancel by clicking Show.
Step 2: Click the Menu button at the top left of the tender’s details page.
Step 3: Select Cancel tender in the drop-down menu.
Step 4: A window titled Cancelling tender opens. Write a reason for the cancellation in the text field.
Note: The field is mandatory. If you try to continue without a reason, you get the message: “Please provide a reason for cancelling the tender”.
Step 5: Click Cancel tender at the bottom right of the window.
Step 6: Confirm the action in the subsequent dialog box by clicking OK.
Important: You can undo and stop the process by clicking Cancel in the confirmation dialog.
Step 7: The tender now changes status to Cancelled, and a clear marking with the text “Tender is cancelled” is displayed on the tender’s page. The menu is updated at the same time, so Edit and Cancel tender are no longer available.
Note: The action is automatically registered in the tender’s log as “Tender canceled”, and an e-mail is sent to the relevant parties that the tender has been cancelled.
NEXT STEPS #
- Check the tender’s log to confirm that the cancellation has been registered correctly
- Check in the e-mail overview that the notification about the cancellation has been sent to the relevant parties
- Create a new tender if the need is still relevant
- Contact support if you need to have the tender deleted completely from the system
