How to handle an invitation to a tender
CONTEXT #
This guide describe an automatically generated invitation e-mail from the tender platform Ajour System. The e-mail informs the recipient that they have been invited to participate in a tender, and contains action buttons to register for or decline the tender, as well as a direct link to the tender. This is a web-based platform.
RELEVANCE #
This guide is relevant when you receive an invitation to participate in a tender via Ajour System. It guides you through how to respond to the invitation – including whether you want to participate or not – and how to access the tender details.
PREREQUISITES AND REQUIREMENTS #
- You have received an invitation e-mail from Ajour System in your inbox
- You have access to the e-mail address the invitation was sent to
- You have an internet connection and an up-to-date web browser
GUIDE (step by step) #
Step 1 – Open the invitation e-mail Open the e-mail received from Ajour System in your inbox. You can see the title of the tender and the relevant deadlines, including the deadline for registration and for the tender itself.
Note: The e-mail is auto-generated and cannot be replied to directly. If you have technical problems, you should contact Ajour System support via the e-mail address given in the e-mail.
Step 2 – Decide on your participation Under the tender information you will find two options:
- Click “I want to participate in the tender” if you want to participate
- Click “I don’t want to participate in the tender” if you do not want to participate
Important: Pay attention to the specified deadlines before you decide. This may affect your ability to participate.
Step 3 – Go to the tender Click the “Click here to go to the tender” button to open the tender in Ajour System. You are now taken to a page where you can see more details about the tender before you finally register.
- NOTE: It is not possible to forward the invitation link to another user. The link/invitation is user-based and can only be accessed by the user the e-mail was sent to. If another user needs access, they must be invited directly by the tender administrator.
NEXT STEPS #
- Review the tender details – Read the tender material carefully before submitting a bid
- Register for the tender – Confirm your participation within the specified deadline
- Submit questions – If you have questions about the tender, you can, as a participating bidder, submit questions directly via the platform
