CONTEXT #
This guide describes how to use the Report generator in AjourInspect & QA (web) to filter, retrieve and export data about registrations across projects. The Report generator lets you narrow down data by project, group, category, type, date and status, and then generate a combined control result that can be exported in several formats.
RELEVANCE #
You need this guide when you want to create an overview of registrations across several projects, groups or categories – for example for status reporting, quality follow-up or documentation for an external party. The Report generator is relevant when the regular registration overview in the individual tabs (Supervisory, Project, Defect, Preregistration, QA) does not give you the combined view or export option you need.
PREREQUISITES AND REQUIREMENTS #
- You must have access to the AjourInspect & QA module.
- Your user must have been granted the system permission “Use AjourQA Report Generator” under Project permissions > General in User data.
- Registrations must exist in at least one project you have access to before data can be retrieved in the report.
GUIDE (step by step) #
Step 1. Click AjourInspect & QA in the top menu to open the module.
Step 2. Select one of the tabs at the top – Supervisory, Project, Defect, Preregistration or QA – depending on which type of registrations you normally work with. The Report generator is available from all tabs.
Step 3. Click Report generator on the right side of the screen. The Report generator filter page now opens.
On the filter page you will find the following filter options, which you can combine as needed:
- Projects – select one or more projects in the left-hand list that the report should include.
- Groups – select one or more groups to narrow down the data further within the selected projects.
- Categories – Level 0 – select one or more categories if you only want registrations within specific categories.
- Type – check which registration types should be included: Supervisory, Project, Preregistration, Defect and QA. All types are checked by default.
- Date – specify a date range (“from” and “to”) if you only want registrations created within a specific period.
- Status – check which statuses the registrations should have: Created, Done, Rejected, Not approved or Completed. If no status is checked, all statuses are included.
Step 4. Click Get to retrieve registrations based on your selected filters.
Step 5. Review the result in the Control result section. It shows a combined overview of the number of registrations by status (Created, Done, Rejected, Not approved, Completed), as well as a table with the columns Serial number, Groups, Category, Description, Responsible and Created. You can use the search field in the table to search freely in the retrieved results.
Step 6. Click Get more at the bottom of the table if there are more registrations than are shown on the page.
Step 7. Click Export when you want to export data from the Report generator.
Step 8. Select the desired export format in the menu: Export summary (.xlsx), Export displayed data (.xlsx), Export all filtered data (.xlsx), Export as Json (.json), Export as Xml (.xml) or Export as Csv (.csv).
Note: “Export displayed data” only exports the rows that are currently retrieved and shown in the table, whereas “Export all filtered data” exports all registrations that match your filters – including those that have not yet been retrieved with “Get more”.
NEXT STEPS #
- Save or share the exported file with relevant recipients.
- Adjust the filters and repeat the process to generate a new report with a different selection of data.
- Use the filter options in the individual tabs (Supervisory, Project, Defect, Preregistration, QA) if you only need to see registrations for one project at a time.
