Context #
This guide describes the Blueprints on project function in AjourBox (web) – a file management module that lets you upload and organize drawings directly linked to a project. The drawings become visible and available in AjourInspect & QA, where they can be linked to registrations as location-specific background drawings.
The flow goes from AjourBox (upload and folder structure) to AjourInspect & QA (use of drawings in the registration work).
Relevance #
You need this guide when you want to:
- Link drawings to a project so they can be used as background drawings when creating registrations
- Create or maintain the folder structure under Blueprints on project
- Upload new drawing files to a specific block or department on the project
- Make sure drawings are available to your team in AjourInspect & QA
Prerequisites and requirements #
- You have access to AjourBox and the relevant project
- You have the necessary permissions to upload files and create folders on the project
- You have the drawing files ready on your computer in one of the following supported formats: PDF, JPG, JPEG or PNG
- The project has already been created in the system and is available via the project menu
Guide (step by step) #
Step 1 – Open AjourBox
Click AjourBox in the left navigation menu on the start page, or select it from the top navigation bar.
Result: AjourBox opens, and you see the project’s file structure.
Step 2 – Select the relevant project
Click the project name in the dropdown menu at the top left, and select the project you want to work with.
Result: The left side panel is updated and shows the project’s folder structure, including the section Blueprints on project.
Step 3 – Find the Blueprints on project section
Scroll down in the left side panel until you see the heading Blueprints on project. Below it is a tree list of the project’s drawing blocks and folders.
Tip: If the section is empty or does not show the desired folder structure, you can right-click the project name in the tree to create a new folder or import a template (see Step 4).
Step 4 – (Optional) Create project folders (project levels) via the right-click menu
If you want to divide your registration drawings into project folders, you can right-click the project name under Blueprints on project. A context menu appears with the following options:
| Menu option | Description |
| Import template | Imports a predefined folder structure and template |
| Save as template | Saves the current structure as a template for reuse |
| Create folder | Creates a new, empty folder for drawings |
| Paste | Pastes a copied folder |
| Refresh | Reloads the folder structure |
Click Create folder or Import template as needed.
Result: The new folder or the imported structure appears in the tree.
Note: When you create project folders (project levels) under Blueprints on project, the folders become selectable in AjourInspect & QA in the project selector, shown as 3 folder icons (No. 1, 2 and 3).
Step 5 – Navigate to the desired folder
Click the folder you want to upload drawings to. The path at the top of the content area is updated and shows the current location.
Result: The central content area shows the files in the selected folder (or the message “No files in folder”).
Step 6 – Start the upload
Click the Upload files button at the top of the content area.
Result: A dialog box titled “Upload files to AjourBox” opens. You can either drag and drop files directly into the dialog box or click + Add files to open a file selection window.
Step 7 – Select files from your computer
In the file selection window, navigate to the folder on your computer where the drawing files are saved. Select the file or files you want to upload, and click Open.
Important: Only files in the formats PDF, JPG, JPEG or PNG are supported as registration drawings. Files in other formats will not work correctly in the system.
Result: The files are shown as previews in the upload dialog box.
Step 8 – Specify visibility and description
In the upload dialog box, you can specify the following for each file:
- Select the visibility via the dropdown menu – choose either Published or Not published
- Enter an optional description in the text field below the preview (max. 500 characters)
Important: Choose the visibility carefully. Files marked as Published will be available to all users with access to the project.
Tip: A description can make it easier to identify the drawing when searching and reviewing.
Step 9 – Complete the upload
Click the Start upload button at the bottom right of the dialog box.
Result: The file is uploaded. When the upload is complete, you can click Close upload to close the dialog box.
Step 10 – Confirm that the files have been uploaded correctly
Check that your uploaded files now appear in the file list with the correct name, description and date.
Result: The drawing is now registered under the selected folder in Blueprints on project and is ready for use in AjourInspect & QA.
Step 11 – Confirm the link in AjourInspect & QA
Switch to the AjourInspect & QA module via the top navigation bar. Select the relevant project and check in the Registration drawings panel at the top right that your uploaded files appear in the list.
Tip: You can use the dropdown menu to filter the view by block or department to verify that the drawing is available under the correct subsection.
Note: When a file is uploaded in AjourBox, the system automatically generates a preview of the drawing in AjourInspect & QA. If the file contains several pages (e.g. a PDF with several drawings), only page 1 is shown as the preview.
Result: The drawings are now ready to be used as a reference when creating registrations.
Managing uploaded registration drawings #
Once a drawing has been uploaded, you can manage it directly from the file list. Click the file to select it, and then click Menu at the top right of the details panel. The following actions are available:
| Menu option | Description |
| Edit | Edit file information such as description, revision and visibility status |
| Information | Show metadata about the file (file name, upload time, version, status, etc.) |
| Revisions / Versions | See the file’s version history with date, revision number and download option |
| Menu option | Description |
| Log | See a complete activity log for the file |
| Comments | Add or read comments linked to the file |
| Activate/Deactivate blueprints | Change the file’s status as an active registration drawing on the project |
| Delete file | Delete the file permanently from the system |
ℹ Note: Unlike regular files in AjourBox, there is no Move file action for registration drawings. An already uploaded registration drawing can therefore not be moved to another folder afterwards. If the drawing needs to be in a different folder, you must instead upload it again in the desired folder and then delete the original file – provided it is not in active use on any registrations (see the section Delete a registration drawing).
Edit file information
Click Edit in the menu dropdown. The “Edit file information” dialog box opens and shows the file’s current metadata. You can change the following fields:
- Revision – specify the revision number via the dropdown
- Status – switch between Published and Not published
- Description – update the description text (max. 500 characters)
Click Save to save the changes, or Cancel to discard them.
Result: The file’s metadata is updated and immediately shown in the file list.
Revisions and versions
Click Revisions / Versions to open the version panel. The panel shows a list of all versions of the file with date, revision and version number, and visibility status. You can download an earlier version by clicking the download icon next to the desired entry.
Tip: The version panel is useful if you need to verify which drawing was active at a given time.
Log
Click Log to open the activity log for the file. The log shows all events in chronological order, including uploads, status changes, activation and deactivation, and views.
Note: The log cannot be edited and is for information and audit purposes only.
Comments
Click Comments to open the comments panel. Write your comment in the text field and click Send to add it. Comments are visible to all users with access to the file.
Activate or deactivate a registration drawing
Click Activate/Deactivate blueprints to change the file’s active status as a registration drawing. A deactivated drawing remains in the system but will not be available as a background drawing in AjourInspect & QA.
Tip: Use this function to temporarily take a drawing out of use, e.g. during a revision, without deleting the file permanently.
Delete a registration drawing
Click Delete file in the menu. A confirmation dialog appears.
Important: Deleting a registration drawing is permanent and cannot be undone. Registrations that use the drawing will lose their coordinates and drawing reference at the next synchronization. Make sure the file is no longer in active use before you delete it.
Click Delete Files to confirm, or Cancel to discard.
Note: If the file is in active use on one or more registrations, the system will block the deletion and show an information message. Click OK, and deactivate or unlink the drawing from the relevant registrations before you try again.
Note: “In active use” also includes hidden registrations, not only the registrations shown in the normal overview. If the deletion is still blocked even though you cannot find any visible registration
that uses the drawing, filter on Show only hidden in AjourInspect & QA to see whether a hidden registration is still linked.
Recommendations and good advice on file size and level of detail #
The app’s file viewer has a limit on how many pixels it can load and display at once. Large and detailed registration drawings can therefore look unclear or pixelated when you zoom in in the app – even if the file looks sharp on the computer.
To ensure the best experience in the app, we recommend following these guidelines:
Split large drawings into smaller parts
If a drawing covers a large area with many details, you should split it into smaller individual parts – e.g. per block, section or floor. Upload each section as a separate file and place them in the relevant subfolder.
Avoid unnecessarily high resolution
A drawing does not need to be in print resolution to work as a registration drawing. Choose a resolution that is sufficient to read room and element names clearly, but that does not make the file unnecessarily large.
Check the drawing in the app before you start using it
After uploading, open the drawing in the AjourInspect & QA app and zoom in on the most detailed areas to check that text and lines are legible. If necessary, adjust the file’s size or level of detail before you start using it.
Tip: A good rule of thumb is that a registration drawing should cover one delimited area per file – e.g. one block, one plan, one building section or one apartment. The more delimited the drawing is, the more detailed a drawing you can display in the app.
Next steps #
- Create registrations with a drawing – Go to AjourInspect & QA and create a new registration, linking the uploaded drawing as a background drawing.
- Organize the drawing structure – Adjust the folder structure under Blueprints on project by creating subfolders per block, floor or trade contract.
- Share drawings with the team – Make sure relevant drawings are marked as Published, so the other project participants have access in their view.
