CONTEXT #
This guide describes how to change the recipient of a registration (e.g. a defect) in the EG Ajour app in the Inspect & QA module. The function is available in the detail view of a single registration under a project, and it makes it possible to change who is responsible for or is to be notified about the registration – both internally in your own organization and to external partners associated with the project. This guide does not describe how to forward a registration.
RELEVANCE #
You will need this guide when a registration is to be handed over / sent to another user, e.g. because:
- The registration was originally sent to a wrong or outdated recipient
- The task is to be passed on to a colleague in your own company
- The task is to be handed over / sent to an external partner (e.g. the general, main or trade contractor)
- Several users are to be informed about the same registration
PREREQUISITES AND REQUIREMENTS #
- You have access to the EG Ajour app and project permissions for at least one project
- You are in the Inspect & QA module
- You have permissions to edit the registration in question
- You know which company and user the new recipient belongs to
- You are aware that a recipient can only be set on the registration types Supervisory, Project, Defect and Preregistration (it is not possible on the QA/KS registration type)
- You are aware that only one company can be set as recipient at a time.
- You are aware that several users from the same company can be set as recipient.
- Internet connection, so that the change can be synchronized afterwards
GUIDE (step by step) #
Step 1: Navigate to the relevant project folder or registration drawing where the registration is to be or has been created. Add a registration or open an existing registration.
Step 2: In the registration’s detail view, you can see at the top who created the registration and who the current recipient is. Click the “Change” button next to the recipient information.
Please note: When a new registration is created, the responsible user (the creator) is by default listed as the recipient.
Step 3: The “Change receiver” screen opens. At the top you can choose between the tabs “Status” (change the current recipient) and “Forwarded” (forward to a 3rd party).
Please note: Information about who created the registration and who is currently the recipient is always shown at the top of the screen, regardless of which tab you are on.
Step 4: Under the “Status” tab, a list of companies in the project is shown. Click the arrow next to an organization to expand it and see the individual users in it.
Step 5: Tick the user or users who are to be the new recipient. You can:
- Select several users in the same company (e.g. add a colleague in addition to the current recipient)
- Expand another company and select a recipient there instead (e.g. an external partner)
- Select a company, and all users from the company will be selected as recipients
Step 6: Remove the tick from users who are no longer to receive the registration by clicking the selected box again.
Step 7 (optional): Activate the “Remember recipient” function at the bottom if the selected recipient is to be used automatically when creating future registrations.
Step 8: Click “Save” at the top right to save the new recipient. Click the “Left arrow” icon to cancel.
Important: The change is only saved locally until you synchronize it, see the next step.
Step 9: You return to the registration’s detail view, where the updated recipient is shown.
Step 10: Synchronize the change so that it becomes visible to others: Click the synchronization icon, select the scope (e.g. only the current project or all projects), and click “Synchronize”.
Step 11: Follow the status bar while the changes are synchronized. When “Synchronization successful” is shown, click “Back to [app]” to return.
NEXT STEPS #
- Add photos or descriptions to the registration so that the new recipient has the necessary context about the task.
- Change the status of the registration if it is also ready to move on in the workflow.
- Review the other registrations in the list to make sure all relevant registrations have the correct recipient before you perform a full synchronization.
