CONTEXT #

This guide describes how to filter and get data on the BD-board in the AjourFM module. The BD-board gives a status overview of building elements for a selected project and a selected property group, divided into one total card and a number of building element cards. The function is web-based.

RELEVANCE #

You need this guide when you want a quick overview of how far the building elements in a project have progressed – from creation to approval and closing. It is relevant when, for example, you need to follow up on progress for a specific property group within a given period, or when you want to look into the status of a single building element.

PREREQUISITES AND REQUIREMENTS #
  • Access to the AjourFM module
  • Knowledge of which project and which property group you want to see data for
  • Permissions to see the relevant projects and property groups
  • Knowledge of the responsible company/user and period, if you want to narrow the search
  • Note that the number and naming of building element cards depend on how the building elements are set up on the individual project
GUIDE (step by step) #

Go to the AjourFM tab in the top menu. You are then taken to the BD-board, where the filter fields are shown at the top.

Select the desired project in the Project field, and then select the relevant property group in the Property group field just below. Note that the content of the property group list depends on which project you have selected.

If you want to narrow the results further, you can select a specific responsible company in the field next to Project, and a specific responsible user in the field next to Property group. Both fields can be left empty if you want to see data for all.

You can also limit the period by clicking in the date fields Created from and Created to, where a calendar view lets you select the start and end date.

Tip: You do not have to fill in all filters. The more filters you set, the more limited the result becomes.

When the filters are set, click the Get button on the right to get the data. The system briefly shows a loading message while data is retrieved, after which the result is shown as one combined “In total” card on the left and a number of building element cards on the right – one card per building element category in the project in question.

Each card shows the number of building elements by status:

  • Created (yellow)
  • Activities/Components created (turquoise)
  • Completed (green)
  • Approved and Closed (dashed grey)

Click one of the building element cards to expand it. Below it, a list of the underlying BE-cards (components) is shown with card no., name, responsible, date last changed and status per component.

Note: If you want to reset your filter selections, you can click the Reset filter button instead of Get. If you want to copy the current selection of building elements, for example for use in another context, you can use the Copy BE-card button. In the top right of the page you will also find Print, Operating plan and Reports if you want to work further with the overall result.

NEXT STEPS #
  • Click one of the building element cards to see the detailed list of components behind the overall status
  • Repeat the filtering with other property groups or periods to compare progress
  • Use the status overview as a starting point for follow-up with the responsible users on building elements that have not yet been completed or approved
Colour codes for BE-cards explained #

This article explains the different stages and requirements for a BE-card, and what the different colours mean.

The project manager is typically a consultant/project leader who creates the necessary BE-cards according to the requirements of the project in question. A “Property group”, “Name” and “Warranty responsible” for the BE-card are specified.

The status of the BE-card is now “Yellow“. The BE-card has now been created – and named as a minimum.

The warranty responsible is typically a contractor who fills in the BE-cards with the necessary information for operation and maintenance of the BE, and creates components with an operating interval.

The status of the BE-card is now “Blue“. Activities and components have been entered in the BE-card.

When the warranty responsible has finished filling in the BE-card correctly, he completes the card.

The status of the BE-card is now “Green“. The BE-card has been filled in and is ready for quality assurance and approval.

When the BE-card has the status “Green“, the consultant/project leader will check whether the entered data meets the result requirements.

If it does not, the discrepancy is commented directly on the card, after which the BE-card is reopened and gets “Blue” status again. The warranty responsible can then correct the card and complete it again.

If there are no problems on the BE-card, it is closed / approved. The status of the BE-card is now “White“. The BE-card has been approved and closed – ready for use.

The BE-card can now be found under “Operating plan”.
