# Overview and Filter

Overview of tenders and Filter (Tender administrator)

CONTEXT

This guide describes the "Overview" in AjourTender, where you as Tender administrator can view, search, filter, sort and group the tenders you have access to. The guide covers the web version of EG Ajour.

RELEVANCE

When you manage several tenders across projects, the "Overview" gives you a quick view of status, participation, offers/PQ and questions/answers for each tender. The filter function lets you narrow down the list so you can quickly find the tenders that are relevant to you right now - for example only the active tenders, or tenders in a specific project.

PREREQUISITES AND REQUIREMENTS

You must have access to the AjourTender module

You must have the project permission Tender administrator on the relevant projects

Important: You can only see the tenders linked to projects where you have the project permission Tender administrator

GUIDE (step by step)

Step 1: Click AjourTender in the top menu to open the module. You now see the "Overview" with a list of tenders.

Step 2: Note the Active filter field, which by default shows the statuses Created, Approved, Active, Closed and Cancelled. The status Completed is not included in the default view.

Step 3: Click Filter to open the filter panel.

Step 4: Under Projects you can search by project name or select checkboxes to narrow the list to specific projects.

Step 5: Under Status you can select or clear the statuses you want to see (Created, Approved, Active, Closed, Cancelled, Completed).

Step 6: Under Type / Form you can filter on whether the tender is Open or Invited.

Step 7: Under Sorting you choose whether the list is sorted by Creation date, Tender starts (publication) or Deadline. Click Ascending to switch between ascending and descending order.

Step 8: Under Grouping you choose whether the list is grouped by None, Projects or Status.

Step 9: Click Close Filter to hide the filter panel. Your selected filters are then shown as tags under "Active filter".

Note: Your selected filter is saved when you navigate around AjourTender, and also when you switch to other Ajour modules and back again. The filter is reset when you sign out and when you close the tab or the browser.

Step 10: Use the Search the tender field to search for text among the tenders that the active filter already shows. The search result is updated as you type.

Step 11: Click x on a single filter tag to remove just that filter, or click Reset Filter to remove all filters and search terms at once.

NEXT STEPS

Click SHOW on a tender in the list to open the tender's details

Create a new tender via Create new tender

Review participation, offers/PQ and questions/answers for the tenders shown in the filtered list

Overview of tenders (Tender user)

CONTEXT

This guide describes the "Overview" in AjourTender from a Tender user's perspective. Here you can see a list of the tenders you have access to.

RELEVANCE

As a Tender user you need an overview of the tenders you are invited to or otherwise have access to, including key information such as tender type, assignment criteria and deadlines.

PREREQUISITES AND REQUIREMENTS

You must have access to the AjourTender module

You must either be invited to the relevant tender(s), or the tender must be publicly available

Note: Unlike a Tender administrator, a Tender user does not have access to the filter function on this page

GUIDE (step by step)

Step 1: Click AjourTender in the top menu to open the module.

Step 2: See the list under Overview. Each tender is shown with status, project, Tender Type, Tender Form, Assignment criteria, publication date, deadline for questions, submission deadline and a countdown to the expiry of the tender.

Step 3: Click SEE DETAILS to open the tender in question and see more information.

Note: If the list under "Overview" is empty, it may be due to one of the following reasons:

There are no public tenders available in the system

Your e-mail address has not been invited to the tender(s) in the system that require an invitation

If you are missing a tender you expect to have access to, you can follow this procedure:

If you have received an official e-mail invitation from Ajour, first check that you are logged in with the e-mail address that received the invitation

If you are logged in with the correct e-mail address and the tender is still not shown, contact the person who sent the invitation

If you have not received an official e-mail invitation from Ajour, you can contact the company that owns the Ajour system

NEXT STEPS

Check your login e-mail and contact the sender of the invitation if needed

Open a tender via SEE DETAILS to see further details and, if relevant, submit an offer

Follow the tender's deadlines for questions and submission
