# Edit assignment

CONTEXT

This guide describes how to edit the assignment of a folder in AjourBox so that you control which companies have access to the folder and its subfolders.

RELEVANCE

You need this guide when you want to give or remove access for one or more companies to a specific folder in the project. AjourBox is permission-controlled, and by editing the assignment you ensure that only the companies that should have access to a folder can actually see and open it.

PREREQUISITES AND REQUIREMENTS

You must have the permission "Manage assigned folders" enabled under Project permissions → AjourBox → Assigned folders to be able to edit assignments.

The following roles can see all folders in the project, regardless of whether their own company has been granted access:

System administrator, Project Administrator, Project Manager

Other users can only see the folders that their own company has been granted access to.

GUIDE (step by step)

Step 1: Log in to your Ajour system and click AjourBox in the top navigation menu.

Step 2: Select the relevant project in the dropdown menu at the top left.

Step 3: Find the desired folder in the folder tree on the left side.

Step 4: Right-click the folder name and select Edit assignment in the context menu.

Step 5: The "Edit permissions for: [folder name]" dialog opens. Here you see a blue chip for each company that currently has access to the folder, a search field for finding and adding companies, and a list of available companies under "Companies".

Step 6: To add a company, click the search field, type the company name and click the company in the list. The company is then added as a blue chip at the top of the field.

Note: If you cannot find a specific company in the list, there can be two reasons:

No users from that company have been linked to the project yet, or

You are assigning a subfolder where the company has not been granted access to the parent folder in the hierarchy. A company must have access to a parent folder before it can be granted access to a subfolder.

Step 7: To remove a company, click the cross (×) on the company's blue chip.

Step 8: Click Save to confirm the changes, or click Close to cancel without saving.

Note: The assignment applies to the selected folder and any subfolders. Users from companies that are not on the list can see neither the folder nor its contents.

NEXT STEPS

Assign or remove the permission "Manage assigned folders" for other users via User administration

Review the other permissions under Assigned folders (e.g. Edit files, Delete files, Read) if you need to fine-tune access further

Check the folder hierarchy if a company is missing from the search list, to see whether it is due to missing access to a parent folder
