# Create and manage folder templates

Context

This guide covers the folder structure function in AjourBox. From a project folder's context menu, you can import a predefined folder structure from a template, save your current structure as a template for reuse, and save the structure as the default for new projects.

Relevance

Use this guide when you want to:

Ensure a consistent folder structure across projects

Reuse an existing structure when starting a new project

Create and maintain company templates that all colleagues can use

Define a default structure that is automatically offered on future projects

Prerequisites and requirements

Before you follow the guide, make sure the following is in place:

You have access to AjourBox and are logged in

You have the necessary permissions to create, edit and save folder structures → Project permissions → AjourBox → Assigned folders and/or Public folders and/or Closed → folders Edit folders.

There is at least one project in the system that you can work with

If you want to save a company template, it requires administrator permissions or equivalent access

Guide (step by step)

Open the context menu

Step 1. Right-click the desired project folder in the folder tree.

A pop-up menu appears with the following options: Import template, Save as template and Save as default folder structure.

Part A – Import a folder structure from a template

Step 2. Click Import template in the pop-up menu.

The Templates dialog opens. On the left side you see three categories of templates: Bips, Ajour templates, Company templates and My templates. Click the category that is relevant to your project to expand it and see the available templates.

Tip: Company templates are created by your organization and are available across all projects.

Step 3. Select the desired template by clicking it.

On the right side of the dialog, a folder structure with checkboxes is displayed. Here you can adjust which folders you want to import. Clear the Include root folder checkbox if you do not want to include the root folder.

Warning: Imported folders are added to the existing structure. Check that there are no name conflicts with existing folders.

Step 4. Select the desired folders by ticking them.

Step 5. Click Import folders in the bottom right corner.

The dialog closes, and the selected folders are created in the project folder.

Part B – Save the current structure as a template

Step 6. Right-click the project folder and select Save as template in the pop-up menu.

The Save folder as template dialog opens.

Step 7. Enter a name for the new template in the text field.

Tip: Use a descriptive name that makes it clear which type of projects the template is suitable for – e.g. "[Project type] – standard structure".

Step 8. Select the Save as company template checkbox if the template should be available to all projects in the company.

Note: Company templates are visible under Company templates to all users with permissions to create folders on one or more projects in the system.

Step 9. Click Save template.

The template is saved and is then available under Company templates in the Templates dialog (see Part A, step 2).

Part C – Save as default folder structure

Step 10. Right-click the project folder and select Save as default folder structure in the pop-up menu.

The Save as default folder structure dialog opens and shows a preview of the folder structure that will be saved as the default.

Step 11. Review the structure in the preview and confirm that it is correct.

Important: This action overwrites the organization's existing default structure. Future projects will automatically be created with this structure.

Step 12. Click Save as default folder structure in the bottom right corner.

The structure is saved as the new default and will be used as the starting point whenever new projects are created.

Next steps

Create a new project and try out the default structure – Check that the saved default structure looks correct when a new project is created.

Share the template with colleagues – Inform relevant users that a company template has been created or updated under Company templates.

Maintain and update templates – Review existing templates regularly if the project structure changes. Outdated templates can be deleted by clicking the recycle bin icon in the template list.
