# Categories/schema: Import and export control schema

CONTEXT

This guide shows an administration page in the EG Ajour module AjourInspect & QA, where control schemas can be configured. From here, a control schema can be opened, and its content can be imported or exported as a .csv file via two dedicated buttons in the schema's toolbar.

RELEVANCE

This guide is relevant when you need to transfer data into a control schema in one go, or when you want to extract the schema's current content for use elsewhere, e.g. for editing in a spreadsheet, archiving or sharing with colleagues.

PREREQUISITES AND REQUIREMENTS

You must have administrator access to the system's or the project's categories and schemas

You must know the path to the control schema you want to import to or export from

For import: you must have a .csv file ready where the column headings are identical to the control schema's existing columns

A program for opening and editing .csv files (e.g. Microsoft Excel).

GUIDE (step by step)

Action: Import control schema

Step 1: Click the gear icon in the system

Step 2: Select "Administration"

Step 3: Select "Categories/schema"

Step 4: Select either "System Setup - Categories" or "Project Setup - Categories"

Step 5: Select the control schema you want to import to

Step 6: Click the icon with a square and an arrow to open the schema

Step 7: Click the "Import" button

Step 8: Your computer's file picker opens automatically

Step 9: Find and select the .csv file you want to import

Step 10: Click "Open"

Step 11: The content of the file is now displayed as ready for import

Step 12: Choose between "Import more", "Import data" or "Cancel import", depending on what you want to do

Please note: The imported .csv file must have exactly the same column headings as the control schema already has in the system. Deviations in column names may cause errors in the import.

Action: Export control schema

Step 13: Click the gear icon in the system

Step 14: Select "Administration"

Step 15: Select "Categories/schema"

Step 16: Select either "System Setup - Categories" or "Project Setup - Categories"

Step 17: Select the control schema you want to export

Step 18: Click the icon with a square and an arrow to open the schema

Step 19: Click the "Export" button

Step 20: The file is created automatically and placed in your browser's download folder

NEXT STEPS

Open the exported .csv file in a spreadsheet program to edit or check the data

Repeat the import process if you have more control schemas that need to be updated

Look into the options under "Import more" to understand how several data sets can be added without overwriting existing data
