# Categories/schema: Calculated scope

CONTEXT

This article shows the web version of EG Ajour, in the AjourInspect & QA module where categories and control schemas are managed (Categories/schema). The "Calculated scope" function lets you first make the column available on a schema, and then specify and follow up on the expected scope for the individual activities on a specific project.

RELEVANCE

You need this guide when you want to set a target for how many inspections are expected to be carried out within a given control schema on a project. By specifying a calculated scope, you can continuously monitor whether the actual number of completed inspections (activities) meets the plan, which makes it easier to manage progress and quality assurance on the project.

PREREQUISITES AND REQUIREMENTS

You must have access to the relevant project in EG Ajour

You must be a system administrator or have the system permission to edit categories/schemas: System permissions - Edit category templates

The system must already have a schema header that you can link the "Scope" column to

GUIDE (step by step)

Part 1: Add the column to the schema header

Step 1 Go to Administration, and then select the Categories/schema tab in the menu.

Step 2 Select Schema Headers.

Step 3 Find the relevant schema in the list, e.g. "[schema name]", and open it for editing. A pane titled "Edit schema headers" opens.

Step 4 On the left side of the pane, you will find a list of columns, divided into "Calculated columns" and ordinary "Columns". Find the "Scope" column under the calculated columns.

Step 5 Click the "Scope" column to select it. The columns "Basis of calculation" and "Calculated (Executed/Planned)" are then added to the "Added columns" list on the right side of the pane.

Step 6 Click OK to save the change and close the pane.

Please note: This setup applies to the schema as a whole and therefore only needs to be done once, before the column is available on all projects that use the schema.

Part 2: Manage calculated scope on the project

Step 7 Go to Project Setup, and select the relevant project.

Step 8 Navigate through the project's groups and categories, e.g. a project group followed by a category, until you find the desired control schema.

Step 9 Open the relevant control schema from the list (square with an arrow). The control schema is now displayed with activities and associated columns, including the newly added scope columns.

Step 10 At the top of the schema, you will find the "Specify quantity here" field. Enter the total quantity for the activities, e.g. "[10]".

Please note: The specified quantity corresponds to the number of inspections that must be carried out for 100% completion of one of the checkpoints below.

Step 11 Check that each activity line has a basis of calculation in percent. This percentage determines how large a share of the total quantity makes up the scope for the individual activity.

Step 12 See the result in the "Calculated (Executed/Planned)" column, where the system automatically shows the ratio between the number of completed inspections and the planned number for each activity.

Tip: The overall completion percentage for the schema is shown at the top, so you can quickly get an overview of the status.

Step 13 Click OK to save and close the schema.

Please note: If the total quantity or the basis of calculation is changed later, the planned number is updated automatically for all activities in the control schema.

NEXT STEPS

Continuously follow up on the ratio between calculated and actually completed scope to assess the progress of the project

Look into the options for exporting or printing the schema for use in status reporting

Repeat Part 2 for other control schemas on the project where you want to follow up on an expected scope
