# Bulk editing of registrations

Context

The guide describes the list view in the AjourInspect & QA module, where registrations from a project are shown in a table structure. A right-click menu is open and shows the available actions you can perform on one or more selected registrations. The guide visually distinguishes between fields that can be bulk edited and fields that can only be edited individually.

Relevance

This guide is relevant when you need to update/edit the same data field across many registrations at once — for example when a receiver must be changed, a deadline must be adjusted, or registrations must be moved to another group. Bulk editing saves time compared with opening and editing each registration individually.

Prerequisites and requirements

You have access to the AjourInspect & QA module in EG Ajour

You have the necessary user permissions to edit registrations in the relevant project

At least one registration has been created in the project

You are logged in and have selected the relevant project

Guide

Step 1 - Open the list view of registrations

Navigate to AjourInspect & QA in the top menu and select the relevant note type (for example Defect or another note type).

The registrations are now shown in a table view with columns for, among other things, number, creation date, labels, drawing, deadline, category, subject, receiver and responsible.

Step 2 - Select the registrations you want to bulk edit

Set up a filter or select one or more registrations in the list. You can select several by holding down Ctrl while you click, or by selecting a range with the SHIFT key.

Tip: You can use the filter function (the icon at the top right of the list) to narrow down the list before you select registrations.

Step 3 - Open the right-click menu

Right-click one of the selected registrations.

A context menu appears with the following action options:

Copy registration

Hide registration

Manage labels

Change receiver

Change type

Forward

Change project folder

Change group

Change deadline

Show registration log

Step 4 - Select the desired bulk action

Click the action you want to perform on the selected registrations. The actions that support bulk editing are:

ActionWhat is changedChange receiverCompany and/or user as receiverChange typeRegistration type + group + any category + any control schemaChange project folderWhich project folder the registration belongs toChange groupGroup + any category + any control schemaChange deadlineDeadline for completing the registrationManage labelsLabels attached to the registration

Important: The fields Subject, Drawing/GPS, and status (Done, Rejected, Completed, Not approved) can not be bulk edited and must be changed on each registration individually.

Step 5 - Make the change

A dialog box opens. Depending on the selected action:

Change receiver: Select a company in the drop-down menu, and then select one or more users. Click Save.

Change type: Select the new registration type, group, category and/or control schema in the drop-down menus. Click Save.

Change deadline: Select a new date in the date picker. Click Save.

Change group / project folder: Select the desired group or folder. Click Save.

Note: In some dialog boxes you will be asked whether the change should apply to the selected registrations or all registrations (All registrations shown in the list view. Choose carefully before you confirm. The action cannot be undone.

Step 6 - Confirm the change

Click OK or Save in the confirmation window that may appear.

The registrations in the list are updated immediately with the new value. You can verify the change directly in the list view.

Next steps

Filter and verify — Use the extended filter to check that the changes have been applied correctly to all affected registrations.

Print report — Generate an updated PDF or Excel report of the registrations using the Print button to document the changes made.

Forward registrations — Use the Change receiver or Forward action in the right-click menu to send the updated registrations to relevant receivers.
